November 2023: GEAPS Exchange Hotel Block Opens 

January 18, 2024: Hotel Cancellation Deadline 

Feb. 1, 2024: Last Day to Book Hotel Reservations in Block 

February 24-27, 2024: GEAPS Exchange 2024

In order to accommodate the needs of the growing Exchange, and ensure the best experience for attendees, GEAPS partners with a housing management company, eShow.  

All hotel reservations and inquiries for Exchange will be handled by eShow, GEAPS’ official housing management company. 

We suggest you arrive on Saturday, February 24, 2024 if: 

• This is your first time at Exchange 
• You’re an international attendee 
• You added the Get Acquainted Party to your registration as an upgrade (Saturday at 7 p.m.)  
• You purchased the Full registration package and plan on attending the Get Acquainted Party on Saturday night and/or education sessions Sunday morning 

For Expo-Only attendees, we recommend arriving the day before you plan to attend the conference so you’re able to get the most out of your day at Exchange. 

Please be aware that GEAPS does not contact individuals and/or companies with special deals on accommodations for Exchange. 

We have received complaints that unaffiliated companies have contacted attendees and exhibitors offering discounted hotel reservations. These offers are scams; individuals have reported lost deposits and fraudulent activity in connection with these activities. 

The only legitimate emails for Exchange lodging will come directly from GEAPS. 

GEAPS Exchange 2024 room block closes on February 1, 2024,

Room reservations that are made before the cut-off date will be confirmed at the above group rates. After the cut-off date, room availability will be based on hotel availability and may not be available at the discounted rate. 

Please be sure to make your reservations prior to the cut-off date to guarantee the group rate. 

Please be aware that our room block cancellation deadline is January 18, 2024. 

Any cancellations made after this date will incur a $200 fee per reservation. If you need to cancel or modify your reservation please do so as early as possible. You will be able to modify or change your reservation through our housing link. 

After the cut-off date you will need to contact the hotels directly to modify or cancel your reservation. 

This cancellation policy is in place to assist GEAPS in managing the housing block, and minimize the risk of paying for unused rooms. Furthermore, our hotel block does sell out of rooms, so cancelling or modifying your reservation early can help ensure all who want a hotel room are able to book one in our block. 

Our contracted hotels also have their own individual cancellation policies. Please keep these in mind when planning your trip.
